Federal Apostille USA is a private document authentication service with a public office in West Palm Beach, Florida and a processing office in Washington, D.C. This policy explains what information we collect when you use our website or place an order, why we collect it, and the choices you have. When this policy says “we” or “us,” it means Federal Apostille USA.
What we collect
We collect only what we need to quote and process your order:
- Contact details you provide through our forms or by phone — your name, email address and phone number.
- Order details — the service you request, the type of document, the destination country, quantities and any notes you send us.
- The documents themselves, once you send or bring them to us, along with any information they contain.
- Basic technical data your browser sends automatically when you visit the site, such as your general location and the pages you view.
We ask you not to send Social Security numbers, full document scans or other highly sensitive information through our website forms. When we need something sensitive, we will tell you a secure way to send it.
How we use it
We use your information to respond to your inquiry, prepare a quote, process and track your order, arrange shipping, and contact you about your order. We use technical data to keep the site working and to understand which pages are useful. We do not use your information to make automated decisions that affect you.
When we share it
Processing an authentication order requires sharing document information with the agencies that authenticate it — the U.S. Department of State, the Florida Secretary of State, the FBI or its approved channelers, and the relevant embassy or consulate, depending on your order. We also share what is necessary with shipping carriers to deliver your documents.
We use a small number of service providers to run our business — for example, form and email delivery, and (when available) payment processing. These providers act on our behalf and only receive what they need. We do not sell your personal information, and we do not share it for advertising.

How long we keep it
We keep order records for as long as needed to provide the service and to meet legal, tax and accounting obligations, after which we delete or anonymize them. Original documents are returned to you as part of your order — we do not retain your original records.
How we protect it
We use reasonable administrative and technical measures to protect the information in our care. No method of transmission or storage is perfectly secure, which is why we ask you not to send highly sensitive data through website forms and instead use the secure method we provide.
Your choices
You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it, subject to records we are required to keep. You can opt out of non-essential emails at any time. To make any of these requests, contact us using the details below.
Children
Our service is intended for adults arranging document authentication. We do not knowingly collect personal information from children under 13.
