How Long Does a Federal Apostille Take?
Realistic timelines for every stage — getting the document, Department of State processing, embassy legalization and translation — with worked examples and what actually speeds things up.
Quick answer
With us, a federal apostille takes about 10–12 business days for Hague Convention countries and 15–17 business days for non-Hague countries including embassy legalization. Doing it yourself by mail typically takes much longer. But the biggest variable is usually getting the document in the first place — that can range from minutes to many months.
Key takeaways
- State Department by mail: processed within 5 weeks of receipt ($20 per document, Form DS-4194).
- Walk-in drop-off in Washington, D.C.: within 7 business days.
- Through us: 10–12 business days for Hague countries, 15–17 with embassy legalization.
- Getting the document itself (FBI report, IRS Form 6166, certified copies) is often the longest step.

The four stages
Every federal apostille passes through up to four stages. Only some apply to your document, and they don’t all run in sequence:
| Stage | Applies to | Typical time |
|---|---|---|
| 1. Getting the document | Anyone who doesn’t already hold it | Minutes to months — see below |
| 2. Department of State authentication | Every federal document | 10–12 business days with us |
| 3. Embassy legalization | Non-Hague destinations only | Included in our 15–17 business days |
| 4. Certified translation | Where the destination requires it | Runs alongside the other stages |
Stage 1: getting the document
This is where timelines are won or lost, and it varies enormously by document:
| Document | How you get it | Typical lead time |
|---|---|---|
| Social Security benefit letter | my Social Security account | Instant |
| VA benefit letter | VA.gov | Instant |
| I-94 travel record | CBP website | Instant |
| IRS tax transcript | IRS online account or Form 4506-T | Often instant online |
| FBI background check | In person at our West Palm Beach or Miami office, a channeler, or the FBI directly | 1–2 business days with us |
| IRS Form 6166 | File Form 8802 | Six weeks or more |
| DD-214 certified copy | National Personnel Records Center | Weeks to months |
| USCIS FOIA records | Form G-639 | Months |
| Naturalization / citizenship certified copy | USCIS Form N-565 | Around 6–12 months |
If your document sits in the bottom half of that table, start it before anything else. No amount of apostille speed recovers a six-month USCIS wait.
Stage 2: Department of State authentication
Every federal document passes through the Office of Authentications in Washington, D.C. If you mail it yourself with Form DS-4194 and the $20 fee, the Department says it processes requests within 5 weeks of receipt. Drop-off in person at 600 19th Street NW (Monday–Thursday, 7:30–9:00 AM) is processed within 7 business days, and same-day appointments are only for life-or-death family emergencies. A rejection sends the document back and restarts the clock.
We hand-deliver documents in Washington after checking them against Department of State requirements, which is how we hold to 10–12 business days for Hague countries.
How long does a federal apostille take by each route?
The U.S. Department of State is the only office that issues a federal apostille. Mailed in yourself, it is processed within 5 weeks of receipt; dropped off in person in Washington, D.C., within 7 business days. Through us it takes 10–12 business days, or 15–17 business days for a non-Hague country that also needs embassy legalization.
| Route | How | Processing time | Cost |
|---|---|---|---|
| Mail it yourself | Form DS-4194 + check to the Office of Authentications, Sterling, VA | Within 5 weeks of receipt | $20 per document + shipping |
| Drop it off yourself | 600 19th Street NW, Washington, D.C. — Mon–Thu, 7:30–9:00 AM, no appointment | Within 7 business days | $20 per document + travel |
| Emergency appointment | Only for a life-or-death family emergency with travel within 2 weeks | Same day | $20 per document |
| Through Federal Apostille USA | We review it, drop it off in D.C. and return it to you with tracking | 10–12 business days total | $299 all-in ($399 non-Hague) |
How much does a federal apostille cost?
The government fee is $20 per document, paid with Form DS-4194. Our all-in price is $299 per document, covering the government fee, review, D.C. drop-off and U.S. return shipping; non-Hague destinations are $399 with embassy legalization.

Stage 3: embassy legalization (non-Hague only)
For countries outside the Hague Convention, the authenticated document then goes to that country’s embassy or consulate for legalization. Consulates set their own processing times and can slow down around holidays. Our non-Hague service, including legalization, runs 15–17 business days. Worked examples
- FBI background check for a work visa in Spain (Hague): our FBI check + apostille bundle at our West Palm Beach or Miami office, about 12–14 business days end to end.
- FBI background check for the UAE (non-Hague): report in 1–2 business days, then authentication and embassy legalization in 15–17 — roughly three to four weeks.
- Social Security letter for a retirement visa in Portugal (Hague): the letter is instant, so about 10–12 business days in total.
- Naturalization certificate for Italian dual citizenship (Hague): the USCIS certified copy dominates — months — then 10–12 business days for the apostille.
Add return shipping on top, and allow a buffer before any hard deadline.
What actually speeds it up
- Start the slow document first. Anything requiring USCIS, the NPRC, or Form 8802 should begin the day you know you need it.
- Confirm Hague status before you order. Sending an apostille to a non-Hague country wastes the whole cycle.
- Get the right version of the document. Certified copies, not printouts; the FBI report, not a state check; Form 6166, not a transcript.
- Don’t notarize, laminate or staple federal documents. Each of these causes rejections.
- Watch recency windows. Many countries only accept an FBI report issued in the last three to six months — time it so it’s still valid on arrival.
- Order translation at the same time. It can run alongside authentication instead of after it.
Frequently asked questions
How long does a federal apostille take?
About 10–12 business days with us for Hague Convention countries, and 15–17 business days for non-Hague countries including embassy legalization. If you mail it to the Department of State yourself, it is processed within 5 weeks of receipt; dropped off in person in Washington, D.C., within 7 business days.
Can I get a same-day federal apostille?
Only in an emergency. The Department of State offers same-day appointments solely for a life-or-death family emergency with travel within 2 weeks. Otherwise the fastest route is in-person drop-off in Washington, D.C., processed within 7 business days, which is how we work.
Why does my apostille take months when you quote 10–12 days?
Usually because of stage 1. If you need a USCIS certified copy, an NPRC record, or Form 6166, obtaining the document takes far longer than authenticating it. Our turnaround starts once we have the document.
Does embassy legalization add a lot of time?
It adds a stage, and consulates set their own pace. With us, non-Hague service including legalization runs 15–17 business days.
Does translation slow things down?
Not if it's ordered with the apostille — we run certified translation alongside authentication rather than after it.
